JOB OVERVIEW - Bid Co-ordinator
To provide effective bid support to the business development team and produce high quality, accurate and attractive documents and presentations for external clients. In particular, to be responsible for pre-tender documentation and maintain an up to date database of the company information used regularly in bid response documents.

• Advanced Word (with ability to use styles, columns, insert pictures from file)
• Advanced PowerPoint (working with slide masters and creating a PowerPoint presentation from scratch)
• Familiarity with, or willingness to learn about, bid management processes and best practice e.g. Shipley methodology
• Knowledge of Excel (for basic formatting of spreadsheets)
• Typing 45+ WPM
• Good English grammar and spelling for proof reading documents
• Attention to detail and ability to multi-task
• Pleasant customer facing aura and ability to work as part of a team
• Inquisitive, belligerent, self assured, passionate and single minded
• Knowledge of desktop publishing programmes, e.g. MS Publisher, Adobe Photoshop
• Creative and imaginative approach
• Previous sales department experience would be advantageous
General Outline of Role:
1. Working with the bid team and salespersons to prepare tender response documents and accompanying presentations, including typing, formatting, basic spreadsheet work, creating diagrams and charts, basic PowerPoint presentations.
2. Responsibility for pre-tender documents, including helping to maintain a database of company information and liaise with experts in other departments to update the information as necessary.
3. Analyse tender request documents to elicit compliance requirements, instructions, evaluation criteria, and undertake other bid management tasks such as developing bid plans and chasing people to stick to the timetable
4. Providing ad-hoc support to the Corporate Services business development team, including such things as designing and publishing presentations, booklets and brochures.
5. Proofreading other people’s documents when required.
